Multi-channel reminder system that sends confirmation emails, 2-hour prep reminders, and 15-minute SMS alerts to both host and guest. Built with n8n to replace Calendly’s premium workflow features, saving hundreds annually while delivering better customization.

How It Works:
When someone books an assessment call through Calendly, the workflow springs into action. It catches the confirmation email, extracts their details (name, email, appointment time), and logs everything to a tracking spreadsheet.
Next, it pulls their phone number from the assessment form they filled out and calculates exactly when to send reminders: 2 hours before and 15 minutes before the meeting.
Right away, your guest gets a welcome email confirming the details and explaining what to expect on the call.
Then the system waits. Two hours before the meeting, it sends your guest a reminder email with a prep checklist and fires off an SMS to you so you know the call is coming up.
Finally, 15 minutes before go-time, your guest gets a quick SMS reminder on their phone.
Everyone stays on track without you lifting a finger.
